Acceptable Use Policy
Version 3.0.0 · Effective date: 16 October 2026 · AcademyApp
This Acceptable Use Policy ("AUP") sets out the rules governing permitted use of academyapp.co.uk and the AcademyApp platform operated by Marvin Lumic Limited. This AUP forms part of our Terms of Service. By using our website or platform, you agree to comply with this AUP. Violation may result in suspension or termination of your account.
1. Permitted use
You may use AcademyApp solely for:
- managing a legitimate sports academy, coaching business or educational programme;
- communicating with your enrolled members, parents and coaches;
- processing bookings and payments from your academy members;
- publishing a website for your academy;
- any other lawful purpose directly related to running your academy.
2. Prohibited use
You must not use AcademyApp to:
- send unsolicited marketing messages (spam) to people who have not consented;
- send marketing messages to children;
- upload, share or distribute content that is unlawful, defamatory, abusive or harmful;
- process payments for any service not related to your academy;
- share your account credentials with anyone outside your organisation;
- attempt to access, probe, overload or attack AcademyApp systems or infrastructure, or introduce malicious code;
- reverse engineer, decompile or attempt to extract the source code of the platform;
- copy, scrape or extract data or content from the platform by automated means, or beyond what a user's role permits;
- use the platform, its content or its documentation to build, benchmark or support a competing product or service;
- use the platform to collect or process data for purposes beyond managing your academy;
- enter a child's personal data without the consent of their parent or guardian;
- resell or sublicense access to the AcademyApp platform;
- impersonate another person or organisation within the platform.
3. Children's safety
Given that AcademyApp is used to manage programmes involving children, you agree to:
- obtain appropriate parental or guardian consent before entering any child's data;
- not share children's personal information beyond what is necessary for running the academy;
- not use any communications features to contact children directly without parental visibility;
- promptly report any safeguarding concern through the appropriate local authority channels;
- ensure any images or videos of children uploaded to the platform have been shared with proper consent;
- publish a child's image publicly (for example on a website, social media or in emails) only where the parent's consent to public use has been obtained and recorded;
- record health information only in the fields provided for it, and not in general notes, messages or posts;
- keep your own safeguarding records (concerns, incidents) where your safeguarding policy requires — AcademyApp is not a safeguarding record system.
4. AI features
When using AI features you agree to:
- not enter children's personal information into AI features beyond what the task needs;
- review AI output before relying on it, approving it, sending it or publishing it — you are responsible for actions you approve and content you publish;
- not use AI features to make decisions about children or members.
5. Content standards
Any content you publish through AcademyApp (for example your academy website, posts and messages) must not:
- infringe any third-party intellectual property rights;
- be false, misleading or deceptive;
- contain hate speech, discriminatory content or material that harasses individuals;
- contain adult content or material inappropriate for families and children.
6. Enforcement
We reserve the right to investigate any suspected violation of this AUP. If we determine that a violation has occurred, we may — without prior notice where urgency requires — suspend access to the account, remove offending content, or permanently terminate the account. We will give reasonable notice and an opportunity to remedy non-urgent violations before taking action.
