Terms of Service
Version 3.0.0 · Effective date: 16 October 2026 · AcademyApp
1. About AcademyApp and who we are
AcademyApp ("we", "us", "our", "the Service") is operated by Marvin Lumic Limited, company number 16005336, 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
AcademyApp is an academy management and growth platform for sports academies, coaching businesses and educational programmes.
2. Acceptance of these terms
By accessing academyapp.co.uk, creating an account or using the AcademyApp platform, you confirm that you:
- are at least 18 years old and authorised to act on behalf of your organisation;
- use AcademyApp for business purposes and not as a consumer;
- have read and understood these Terms of Service;
- accept and agree to be bound by these Terms and our Data Processing Agreement (/dpa);
- have read our Privacy Policy, Cookie Policy and Acceptable Use Policy, and accept the Acceptable Use Policy.
We keep a record of your acceptance. If you do not agree to these Terms, you must not use the AcademyApp platform.
3. The AcademyApp service
AcademyApp provides an academy management platform, including bookings, payments, communications, member management, websites and tools that use artificial intelligence, as described on our website. The features available depend on your plan and may change over time. We will give reasonable notice of changes that materially reduce the Service.
We provide the Service on an "as available" basis. We work to keep it available and reliable, but we do not promise that it will be uninterrupted or error-free, and we do not offer a service-level commitment unless we agree one with you in writing.
4. Your account
4.1 Registration. You must provide accurate information when creating your account. You are responsible for keeping your account credentials secure, and for the accounts of the staff you invite. Notify us immediately at hello@academyapp.co.uk if you suspect unauthorised access.
4.2 One account per academy. Each account represents one academy or coaching business. You may create multiple sites or programmes within a single account as permitted by your plan.
4.3 Your responsibility for your members' data. As an academy owner, you are responsible for the lawful use of AcademyApp, including compliance with UK GDPR in your collection and use of your members' data. You are the controller of your members' data; AcademyApp acts as a processor on your behalf under the Data Processing Agreement, which forms part of these Terms.
4.4 Your legal set-up. You are responsible for registering with the ICO where required, for your own privacy notice to families (we provide a default that you must review and adapt), for safeguarding policies and checks on your staff, and for insurance appropriate to your activities.
5. Acceptable use
Your use of AcademyApp is subject to our Acceptable Use Policy (/acceptable-use), which forms part of these Terms.
6. Payments and billing
6.1 Fees. AcademyApp charges the fees for your plan, and for any services you choose to use, as set out on our pricing page and in your account. Fees are billed monthly in arrears, in GBP. Prices are shown on our pricing page, including whether VAT applies. Any free plan, and its limits, is described on our pricing page and may change.
6.2 Payments from your members. Payments collected from your members through AcademyApp are processed by our payment providers under their own terms. Any fees that AcademyApp charges on those payments are set out on our pricing page or in your plan.
6.3 Late payment. Fees that remain unpaid after 14 days may result in suspension of the account. We will give reasonable notice before suspending any account.
6.4 Additional services. If we offer optional additional services, the separate terms shown when you choose them also apply.
7. Data protection
Our processing of your members' data is governed by the Data Processing Agreement (/dpa). Our own use of personal data is explained in our Privacy Policy (/privacy). Both are designed to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using AcademyApp to manage members (including children), you confirm that you have the legal authority and appropriate consents to enter that data into the platform, and that children's information is entered with the authority of a parent or guardian.
8. Intellectual property
8.1 Your data. You retain all rights to your academy's data, including member records, content, schedules and communications. AcademyApp claims no ownership over your data.
8.2 Platform and software. All software, design and content that forms the AcademyApp platform is owned by Marvin Lumic Limited or its licensors. Nothing in these Terms transfers any rights in the platform to you.
8.3 Your website content. Content you create using AcademyApp's website tools remains yours. We store and deliver it on your behalf. Default text and images we provide in templates (including default legal pages) are provided for you to review and adapt; you are responsible for what your website says.
8.4 Usage information. We may use anonymous and aggregated information about how the platform is used, and information about the use of AI features in de-identified form, to operate and improve the Service.
9. AI features
AI features assist your staff and work within their permissions. AI output can be inaccurate; your staff are responsible for reviewing it before relying on it, approving it or publishing it. You can switch Coachy, our assistant, off for your academy. More information: /ai.
10. Limitation of liability
To the fullest extent permitted by applicable law, Marvin Lumic Limited shall not be liable for any indirect, consequential or incidental loss — including loss of revenue, data loss or business interruption — arising from your use of AcademyApp.
Without limiting the above:
- we are not liable for losses arising from your members' failure to pay fees through the platform;
- we are not liable for disruptions to third-party services, such as payment, messaging or hosting providers;
- our total aggregate liability for any claim shall not exceed the total platform fees paid by you in the 12 months before the claim.
Nothing in these Terms excludes liability for death or personal injury caused by our negligence, for fraud, or any other liability that cannot be excluded under UK law.
11. Termination
You may cancel your AcademyApp account at any time from your account settings. When you cancel:
- you will have a period to export your data (currently 30 days);
- we then delete your data within a reasonable period, except records we must keep by law (for example financial records), and backup copies are overwritten in the ordinary course;
- no refunds are issued for unused portions of a billing period.
We may terminate or suspend your account if you materially breach these Terms, with reasonable notice where possible.
12. Changes to these terms
We may update these Terms from time to time. We will tell existing users about material changes by email at least 30 days in advance, except where a change is required by law or for security, or is not to your detriment.
13. Governing law and jurisdiction
These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
