What counts as a "kid" — what am I actually paying for?
We call them "kids" because most academies work with children, but the billing unit is any participant enrolled in a session or class — regardless of age. Coaches, parents, guardians and anyone on your mailing list do not count. If you have 10 coaches and 40 parents, you pay for zero of them. You only pay for the participants attending sessions.
If a session is free for new members, do I still pay for those participants?
You don't pay for coaches or parents under any circumstances. But any participant in a session — paid or free, new member or returning — counts toward your plan. A free trial session still has a participant in it, so it counts. What you charge your members is entirely separate from what you pay us.
What happens above 200 participants?
Above 200, we move to a simple per-participant model: £0.75 per participant per month — for all of them, not just the ones above 200. So 250 participants = £187.50/month. You can see your projected cost in the dashboard at any time. There are no usage caps — your academy keeps running and we bill automatically at the end of each month.
Can I stay on the free plan forever?
Yes. Free for up to 20 participants for as long as you need it. No time limit, no trial expiry.
Is AI safe to use with my members and kids?
Yes — because AI never sees your members' data. AI in AcademyApp helps owners and coaches manage tasks, generate content and run the platform. It has no access to participant data, member information, or anything personal about your kids or families. The platform handles all personal data directly under UK GDPR. AI only knows about tasks, academy configuration, website content and learning programme materials — and those tasks can always be run manually by the owner, as they usually do.
Do you take a cut of my bookings?
No cut, ever on the most common payment methods! Payment methods not relying on AcademyApp may have fees.
Can I cancel any time?
When you stop running sessions there's nothing for us to bill you. You can turn your academy off whenever you want.
Can I request new features for my academy?
Yes! That's what we love. Just ask us to add it and we'll reach out to get more details — and we'll do our best to build it for you.
